Direct Costs-All Campus Events
- $25 per hour fee is charged for 5:00 p.m. and weekend facilitator coverage
- $25 per hour for Campus Police whenever alcohol is served or for extraordinary coverage required for an event.
- $18 per hour for custodial staff (if required)
- $25 per hour for computer and audio visual technicians
- $3 per sign
- $125 per hour for set-up
- All direct cost or expanses incurred by Thomas Nelson Community College for personnel, set-up, and technical support and consumables will be passed on to the customer.
Commonwealth of Virginia Sales Tax
Room use requiring any equipment or supplies over and above the standard arrangement of desks or tables and chairs will be subject to Virginia sales tax and any other applicable taxes. Only government agencies are exempt from sales tax.
Rates Effective 01/01/2007 are subject to change and reissue as necessary.
Special Notices
- Every non-TNCC affiliated group must have a contact person who is the designated liaison with the Events Management Office. During every use of College facilities, a designated College representative, responsible for oversight of that use, must be present at the Thomas Nelson Community College facility for all the hours of the scheduled event.
- The College reserves the right to refuse the use of its facilities to any organization for a particular purpose even if that organization has previously used the facilities.
- Should alcoholic beverages be served at the event, be considered or requested, the sponsoring organization must comply fully with APM Section 3.8 Alcohol Policy.
- If alcohol service is requested, a request to serve alcohol must be submitted to the President’s Office at least 14 days prior to the use date.
- No requests may be submitted more than 11 months prior to the use date.
- Each client will sign a letter that specifies all details of the event.
- The Events Management Office will make all arrangements with campus offices and appropriate support services for events it handles directly.
- For non-TNCC affiliated events without a College sponsor, the Event Management Office will arrange for support staff to be paid by the client for any activity.
- For non-TNCC affiliated events with a College sponsor, the sponsor will make arrangements if an emergency or unanticipated need arises during the event.
- If the event is cancelled within 14 days of the scheduled time, the deposit will be forfeited to cover administrative processing.
- Clients may make arrangements – independently -, for refreshments, but must include in the room contract, what kinds of refreshments are being provided.
- No set-up changes will be allowed the day of the event.
- When a non-TNCC affiliated group uses College facilities, that group will need to cover all direct costs for any extraordinary audio-visual set-up, computer support, and any other special services at all times.
